3. Booking and Payment
3.1 Booking Process
When you make a Booking through us, you are entering into a contract with the relevant Travel Suppliers for the provision of Travel Services. We act as an intermediary between you and the Travel Suppliers.
All Bookings are subject to availability and confirmation. A contract is formed when we confirm your Booking and receive the required payment.
3.2 Booking Information
You are responsible for providing accurate and complete information for all travelers included in your Booking, including names as they appear on travel documents, dates of birth, passport details, and any special requirements.
Inaccurate or incomplete information may result in additional charges, delays, or cancellation of your Booking without refund.
3.3 Payment
To confirm your Booking, we require payment as follows:
- A non-refundable deposit at the time of Booking, as specified during the booking process
- Full payment by the date specified in your Booking confirmation
Payment can be made by credit card, debit card, bank transfer, or other methods as specified during the booking process. All payments must be made in the currency specified.
If full payment is not received by the due date, we reserve the right to treat your Booking as canceled and apply cancellation charges as set out in Section 4.
3.4 Prices and Fees
All prices displayed on our Website are subject to change without notice until your Booking is confirmed.
Prices may not include:
- Travel insurance
- Visa and passport fees
- Vaccinations and health requirements
- Local taxes and resort fees payable directly to accommodations
- Optional excursions and activities
- Gratuities
- Personal expenses
We may charge service fees for our Services, which will be clearly disclosed during the booking process.
4. Cancellations and Changes
4.1 Cancellations by You
If you need to cancel your Booking, you must notify us in writing as soon as possible. Cancellation charges will apply as follows:
- More than 60 days before departure: Loss of deposit
- 60-45 days before departure: 50% of total booking cost
- 44-30 days before departure: 75% of total booking cost
- Less than 30 days before departure: 100% of total booking cost
These charges reflect the costs and expenses we incur or expect to incur as a result of your cancellation, including payments to Travel Suppliers that are non-refundable or subject to cancellation fees.
Some Travel Services, including special promotions and airfares, may have different cancellation terms, which will be communicated to you at the time of Booking.
4.2 Changes by You
If you wish to make changes to your confirmed Booking, you must notify us in writing as soon as possible. We will endeavor to accommodate your changes, but cannot guarantee that changes will be possible.
If we can make the requested changes, you may be required to pay an amendment fee of £50 per person per change, plus any additional costs incurred by us or imposed by the Travel Suppliers.
Certain changes, such as changes to travel dates or accommodation, may be treated as a cancellation of the original Booking and rebooking, in which case cancellation charges as set out in Section 4.1 will apply.
4.3 Cancellations and Changes by Us or Travel Suppliers
In rare circumstances, we or the Travel Suppliers may need to cancel or make significant changes to your confirmed Booking due to factors outside our control. If this occurs, we will notify you as soon as possible and offer you the following options:
- Accepting the changed arrangements
- Accepting an alternative travel arrangement of comparable standard, if available
- Canceling your Booking and receiving a full refund of all monies paid
If we or the Travel Suppliers cancel your Booking due to circumstances beyond our control (such as natural disasters, pandemic, civil unrest, or government travel advisories), different terms may apply as per Section 6.
5. Travel Requirements and Responsibilities
5.1 Travel Documents
You are responsible for ensuring that you and all travelers in your party have valid travel documents, including:
- Passports valid for at least six months beyond your return date
- Visas required for your destination and any transit countries
- Travel insurance documentation
- Proof of vaccinations where required
We will provide general information about travel document requirements, but it is your responsibility to verify and meet all entry requirements for each country on your itinerary.
We are not liable for any expenses, penalties, or losses incurred due to your failure to obtain the required travel documents.
5.2 Health and Safety
You should consult with a qualified medical professional regarding any health concerns or requirements related to your travel. We recommend that you obtain comprehensive travel insurance that includes coverage for medical emergencies and evacuation.
You are responsible for ensuring that you are physically and mentally fit to travel and that your travel will not endanger yourself or others.
You must comply with all health and safety directives from Travel Suppliers, local authorities, and our representatives.
5.3 Behavior
You agree to behave responsibly and respectfully during your travels. If, in our reasonable opinion or the opinion of any Travel Supplier, you behave in a way that causes or is likely to cause danger, upset, or distress to any third party or damage to property, we and/or the Travel Supplier may terminate your Booking without notice.
If your Booking is terminated due to your behavior, you will be responsible for all resulting costs and expenses, and we will not provide any refund or compensation.
6. Force Majeure
We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under these Terms that is caused by events outside our reasonable control ("Force Majeure Event").
Force Majeure Events include, but are not limited to:
- Acts of God, including floods, earthquakes, storms, and other natural disasters
- Epidemics or pandemics
- Terrorist attacks, civil war, civil commotion, or riots
- War, threat of or preparation for war
- Government actions, including changes in laws or regulations
- Fire, explosion, or accident
- Significant transportation disruptions
- Power failures or telecommunications network failures
If a Force Majeure Event occurs that affects the performance of our obligations under these Terms:
- We will contact you as soon as reasonably possible to notify you
- Our obligations under these Terms will be suspended and the time for performance of our obligations will be extended for the duration of the Force Majeure Event
- We will use reasonable efforts to find a solution by which our obligations under these Terms can be performed despite the Force Majeure Event
7. Limitation of Liability
To the maximum extent permitted by applicable law:
- We shall not be liable for any loss, damage, injury, illness, death, delay, or inconvenience caused directly or indirectly by Force Majeure Events, the acts or defaults of Travel Suppliers, or other circumstances beyond our control.
- Our maximum liability to you for any claims arising from or related to our Services will be limited to the total amount paid by you for the Booking in question.
- We are not liable for any loss of enjoyment, loss of business, loss of profits, loss of use, loss of opportunity, loss of data, or any indirect, special, or consequential loss or damage.
- We are not responsible for the acts or omissions of Travel Suppliers, over whom we have no direct control.
- We do not accept responsibility for any activities or excursions that you book independently while on your trip.
Nothing in these Terms limits or excludes our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Any other liability that cannot be limited or excluded by law
8. Complaints and Dispute Resolution
8.1 Complaints During Travel
If you have a complaint during your trip, you must inform the relevant Travel Supplier and our local representative immediately, giving them the opportunity to resolve the issue on the spot. If the matter cannot be resolved locally, you should contact us using the emergency contact details provided in your travel documents.
Failure to report issues promptly may affect our ability to investigate and address your concerns and may impact any potential compensation claims.
8.2 Complaints After Travel
If your complaint is not resolved during your trip, you must submit a written complaint to us within 28 days of the end of your trip. Your complaint should include your booking reference, all relevant information, and any supporting documentation.
We will acknowledge your complaint within 14 days and provide a full response within 28 days of receiving your written complaint.
8.3 Dispute Resolution
If we cannot resolve your complaint to your satisfaction, you may refer the matter to the Association of British Travel Agents (ABTA) or similar industry organization for resolution through their arbitration scheme.
You also have the right to pursue legal action through the courts if necessary.
9. Indemnification
You agree to indemnify, defend, and hold harmless Parallel Frame, its officers, directors, employees, agents, licensors, and suppliers from and against all losses, expenses, damages, and costs, including reasonable attorneys' fees, resulting from:
- Your violation of these Terms
- Your violation of any rights of another person or entity
- Your breach of any laws or regulations
- Information or content you submit, post, or transmit through our Website
10. General Provisions
10.1 Assignment
You may not assign or transfer these Terms, or any rights or obligations under these Terms, without our prior written consent. We may assign these Terms without restriction.
10.2 Third-Party Rights
These Terms do not create any rights for any person who is not a party to them.
10.3 Severability
